- Account information: name, email address, and login credentials provided through our OAuth authentication provider.
- Professional profile: license type(s), jurisdiction(s), profession type, and renewal cycle dates you enter during onboarding or in Settings.
- CE activity records: course titles, provider names, completion dates, credit hours, certificate images or PDFs, and related metadata you log manually or via email intake.
- Communications: messages you send to us at our contact email address.
Information collected automatically:
- Usage data: pages visited, features used, timestamps, and session duration, collected to improve the Service.
- Device and browser information: browser type, operating system, and IP address, collected for security and analytics purposes.
- Cookies and session tokens: we use a session cookie to keep you logged in. We do not use third-party advertising cookies.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and improve the Service, including calculating your CE compliance status against board requirements.
- Authenticate your identity and maintain your session.
- Send you transactional communications such as compliance reminders or account notices.
- Respond to your support requests or inquiries.
- Detect and prevent fraud, abuse, or security incidents.
- Comply with applicable legal obligations.
We do not use your data to train AI models, sell to data brokers, or serve targeted advertising.

- AI processing: When you use features such as CE course eligibility checking or certificate parsing, your submitted content (e.g., course URLs, certificate text) is sent to an AI inference service to generate results. This content is processed transiently and is not used to train AI models.
- Legal requirements: We may disclose information if required to do so by law, court order, or governmental authority, or to protect the rights, property, or safety of KEEPLicensed, our users, or the public.
- Business transfers: If we are acquired by or merged with another company, your information may be transferred as part of that transaction. We will notify you before your information is subject to a different privacy policy.
4. Data Retention
We retain your account and CE activity data for as long as your account is active or as needed to provide the Service. If you delete your account, we will delete or anonymize your personal data within 30 days, except where we are required to retain it for legal or compliance purposes.
5. Data Security
We implement industry-standard technical and organizational measures to protect your information, including encrypted connections (HTTPS/TLS), hashed session tokens, and access controls limiting who can view your data. However, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security, and you use the Service at your own risk.
6. Your Rights and Choices
Depending on your location, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Delete your account and associated personal data.
- Export your CE activity data in a portable format.
- Opt out of non-essential communications.

The Service may contain links to third-party websites or resources (for example, licensing board websites or CE provider pages). We are not responsible for the privacy practices of those third parties and encourage you to review their privacy policies before providing any personal information.

Your continued use of the Service after the effective date of any update constitutes your acceptance of the revised Policy.
